Allow Someone to Schedule Meetings on Your Behalf Overview

To give someone permission to manage your meetings, give them scheduling permissions on your Webex site, and share your calendar with them in Microsoft Outlook.

The delegate must have a host account and have Webex Productivity Tools installed on their computer.

Assign a Delegate on the Webex Site

Sign in to your Webex site.

In Modern View, select Preferences > Scheduling > Scheduling Permissions.


 

You can also assign a delegate in Classic View, select My Webex > Preferences > Scheduling Options > Scheduling Permissions.

In the Scheduling permission box, enter the email address of one or more hosts you want to allow to schedule meetings on your behalf.

You can select a maximum of 20 hosts.

Select Save at the bottom of the Preferences page.

On Windows, you can get to the same page through the Webex integration to Microsoft Outlook. From Outlook select Schedule Meeting > More > Set Scheduling Permission to go directly to the Scheduling Options section on your Webex site.

From Microsoft Outlook go to File > Account Settings > Delegate Access.

Select Add, and find the name of the person you want to add as a meeting delegate.

In the Calendar field select Editor, and then select OK.

Schedule, Manage, and Start a Meeting for Another Host


Before you begin


  • Make sure that you and the actual host are both using the same version of Webex Productivity Tools.

  • Make sure the actual host has given you scheduling permission their Webex site.

  • Make sure you are signed in to your own Webex account in Webex Productivity Tools.

From Microsoft Outlook, go to File > Open & Export > Other User's Folder.

Type the name of the host or select Name to select the actual host's name.

Select Calendar in the Folder type list, and then select OK.

Select the host’s calendar. You can now schedule, manage, and start meetings for that host.
